Job Purpose:
As a Document Controller in the stores supporting function of a shipbuilding industry, you will play a critical role in managing and organising the extensive documentation and information flow within the shipbuilding supply chain. Your primary responsibility will be to establish and maintain an efficient document control system within the warehouse, ensuring that all consignment and inventory documentation is controlled and stored in a filing system.
The Role:
- Establish and manage a comprehensive document control system within stores to effectively manage voucher control and traceability of quality standards within materials.
- Coordinate the distribution of materials and stock information to relevant stakeholders, ensuring timely access to information and the latest revisions.
- Maintain version control of documents to avoid discrepancies and ensure that all team members have access to the most current information.
- Review documents for accuracy, completeness, and adherence to document control procedures before their release.
- Facilitate easy retrieval and archiving of documents to maintain an organised and accessible repository of inventory records.
- Support project managers, engineers, procurement teams, and other stakeholders to understand inventory levels, quality requirements and support their document control needs.
- Support the stores teams and ensure that inventory stock storage requirements and records achieve traceability of materials and quality control over stock.
- Ensure compliance with relevant industry regulations, quality standards, and company policies related to document control.
About You:
- High school diploma or equivalent education required.
- Proven experience with record keeping and voucher control within a coordination environment.
- Familiarity with ERP systems and good IT skills.
- Strong knowledge in materials management and quality control over materials.
- Strong organisational and time management skills to manage a large volume of documents effectively.
- Excellent communication and collaboration skills to work with diverse teams and stakeholders.
- Knowledge of shipbuilding processes and terminology is beneficial but not mandatory.
- Understanding of relevant industry standards and regulations related to document control.
